Yes. In New Zealand, sole traders must file an IR3 tax return with IRD every year. If your turnover goes over $60,000, you also need to register for GST and file returns regularly. Most sole traders who try to do this themselves end up making mistakes that lead to IRD penalties. The cost depends on your business size and what services you need. Most NZ accounting firms offer an annual plan for businesses under $60,000 turnover, or a monthly plan that covers GST returns, payroll, bookkeeping and annual tax filing. In New Zealand, you must register for GST with IRD once your business turnover reaches $60,000 in any 12-month period. You can register voluntarily before that if it suits your business. Once registered, you file GST returns either monthly, two-monthly or six-monthly. Missing a GST deadline means IRD will charge you penalties and interest — even if you are only one day late. PAYE (Pay As You Earn) is the tax deducted from your employees' wages each payday. As an employer you must report this to IRD within 2 working days through Payday Filing. Provisional tax is different — it applies to business owners who expect to owe more than $5,000 in income tax at year end. Instead of one large bill, IRD splits provisional tax into three payments: 28 August, 15 January and 7 May.
IRD requires all NZ businesses to keep financial records for at least 7 years. This includes invoices and receipts, bank statements, GST records, payroll records including PAYE and KiwiSaver contributions, and any asset purchase records. You can keep records digitally — accounting software like Xero makes this straightforward. Poor record keeping is one of the most common reasons IRD audits small businesses.
The right structure depends on your income, risk level and growth plans. A sole trader setup is simple and free but you are personally liable for all business debts and pay tax at your personal rate (up to 39%). A company registered through the Companies Office gives you personal liability protection and a flat 28% company tax rate — which works out better once your profits grow. Most NZ businesses start as sole traders and restructure into a company later.
As an NZ employer you must automatically enrol all new eligible staff in KiwiSaver. Your employee chooses their contribution rate — 3%, 4%, 6%, 8% or 10% of their gross pay. On top of that you must contribute a minimum of 3% as the employer. Both contributions are reported and paid to IRD through your regular Payday Filing. Missing KiwiSaver obligations can result in IRD penalties and compulsory back-payments.
For NZ businesses with a 31 March balance date: GST returns are due the 28th of the month after each period ends. Income tax returns (IR3 or IR4) are due 7 July if self-filing, or up to 31 March the following year if using a registered tax agent. Terminal tax is due 7 February without an agent, or 7 April with one. Provisional tax is payable on 28 August, 15 January and 7 May. Missing any deadline triggers IRD penalties and interest.
